Optional extras: 5 features most requested by academic organisations

Many users know that ResourceSpace helps to organise, access, preserve, share and manage digital media straight out-of-the-box. In this mini-series, we're taking a closer look at some of the most popular additional tools - all free to use and straightforward to set up. In this edition: 5 ResourceSpace features favoured by academic organisations.

1. Search, edit, and derestrict filters

If you’re working with a lot of different departments, custom filters can be used to ensure that the right teams can view and manage only the content that’s relevant to them.

Filters work on the basis of a fixed list metadata field value being met. When the filter is set up and applied to a user group as a filter rule, this specific metadata value determines whether that group has access or can edit any resource with that value assigned to it.

There are three types of filter: Search filters - to determine which content users can see; Edit filters to determine if users in the group can edit resources, and Derestrict filters, which can be used as an override - allowing users to access resources that would normally be restricted to them.

2. Custom request forms

When users have restricted access to a resource or collection, they need to request to download it. Resource request forms can easily be formatted with custom fields to collect useful information about the request before the content is approved for release by admins.

3. Embed a URL in a metadata field

Sometimes you might have an external URL - for example to a feedback form - that you’d like to direct users to when working in ResourceSpace. Metadata fields can be configured to hold URLs so that users can navigate straight to the external link from the resource preview page.

4. Video timestamps

Timestamp links can be added to video resources so that you can label and return to specific points in the video. This feature is useful if you have a long video file and you want to quickly point your users to specific sections. You might use timestamps to highlight different chapters or scenes.

5. Adobe integration

ResourceSpace is fully integrated with Adobe software via LinkrUI - a best-in-class connector that allows you to directly search for, open, and place your ResourceSpace material into Adobe applications and upload into ResourceSpace from your Adobe platform. Great news - it works with Single sign-on too - and there are no hidden limitations on who can use it.
